Room for Romance is committed to protecting your privacy. We are registered with the Data Protection Registrar and operate in accordance with applicable data protection legislation.

Your reservations with us are secure. All personal data is encrypted, and your credit card details are processed through a secure server using the latest SSL encryption technology and encoding protocols.

For your security, payments made online are processed through secure servers.

Personal information provided by you is only used to process and confirm your booking, or to deal with Gift Card purchases, and is required to ensure you receive a professional service. When making a reservation or request through Room for Romance your name and contact details may be shared with the hotel in question to help them to deal with your request.

We do not disclose your personal information to other parties without your consent, nor do we ever sell mailing lists to third parties. We may need to contact you to advise you of any changes or queries with your hotel booking or Gift Card purchase, to send you our newsletters if you have chosen to subscribe, or to notify you if you have won a Room for Romance competition. We may contact you by email or telephone (including SMS).

Hotel rooms and packages featured on the Room for Romance website are subject to the terms and conditions published by the applicable hotel. You agree to abide by such terms when making a reservation through Room for Romance.

Credit card details and a Room for Romance deposit are required to guarantee your reservation, and details are confirmed to you when booking. Deposits taken by us will show on your card statement as taken by Room for Romance or Riva Publishing Ltd. In some cases, a hotel will require an additional deposit, and details will be confirmed to you on booking. You are responsible for paying the hotel the remaining balance owed before you check out.

Where the hotel's currency is different to your own, your card will be charged at your bank's rate of exchange on the date of booking.

Hotel rooms and packages offered through Room for Romance are subject to the terms and conditions published by the applicable hotel. You agree to abide by such terms when making a reservation through Room for Romance.

Room for Romance takes great care to ensure that the information on this site is accurate and up to date. However, hotel amenities may change at any time or without notice. No warranty is made by Room for Romance as to the accuracy of the information, services or advice provided or available through ourselves, or to the standards or suitability of a hotel for your stay. You agree that the use of, or reliance upon, any of the content of this site, including recommendations of hotels, products or services, is done entirely at your risk.

Room for Romance shall not be liable for any disappointment, dissatisfaction, loss, damage, expense or inconvenience suffered by you at any hotel represented on the site. Likewise, Room for Romance cannot accept responsibility where a hotel discontinues an offer or benefit shown on this site without informing us.  

Cancellations must be notified to us by email. Room for Romance will then confirm to you and to the hotel by email that your booking is cancelled. Please ensure you receive this proof of cancellation – you may require this should your booking be cancelled close to or within the hotel’s cancellation penalty period, to avoid any unnecessary charges.

Hotel cancellation policies specify a period before check-in when cancellations become subject to a penalty charge. Details are shown on your booking confirmation. The hotel’s cancellation period does not include the day of arrival. Thus a 24-hour cancellation policy means that a booking must be cancelled at least 24 hours before midnight on the day before your arrival date to avoid a cancellation penalty.

Deposit refund vouchers will be valid for 12 months, and may be used in payment for the deposit/s on other Room for Romance bookings.

Where additional booking deposits are taken by the hotel (as set out on your booking confirmation), these may be non refundable at any time, depending on that hotel’s terms and conditions.

We recommend taking out personal travel insurance when booking, should you need to cancel for any reason. Our insurance partners Columbus Direct offer excellent rates.

We understand that changing your booking is sometimes unavoidable, due to unforseen events. For this reason we do not charge for making a first amendment to a booking. However, any subsequent changes incur a GBP 20 admin fee to help cover our Reservation team's time.

If you choose to pre-pay a booking in full, or where pre-payment is required by the hotel, we make a 2.5% charge on credit card payments to cover the relevant card handling fees. No charge is made for payments by debit card.

Where rooms are shown with a “Request Now” button, it means that we need to confirm availability directly with the hotel first. You will then receive an email or call from our reservations team confirming whether your requested room is available for the dates selected.

Rooms cannot be held pending your acceptance of such an offer, and availability can change rapidly. To avoid disappointment, we advise you to accept offers as soon as possible if you wish to make a firm booking. Confirmations are normally sent out within 24 hours of you making a booking, and it is your responsibility to contact us if you have not received a confirmation email.

Room for Romance is happy to help plan your holiday or honeymoon itinerary, and a nominal GBP 50 charge – refundable against your booking – is payable for this service.

Many Room for Romance hotels offer you special Extras to help make your stay memorable – often a bottle of champagne, welcome drinks or a room upgrade.

Where details of Room for Romance Extras are displayed, hotels have agreed to honour this offer. However Riva Publishing Ltd, trading as Room for Romance, cannot accept responsibility for any loss, disappointment, inconvenience, damage or injury as a result of a hotel’s failure to honour the Extras shown.

Room for Romance Extras are not offered where the item in question (eg a bottle of champagne) is already included in the special package you are booking. They also cannot be guaranteed where you are booking a short-term promotion or special discounted rates. Please check with us if you are in doubt.

Where a room upgrade is offered as a Room for Romance Extra, such upgrades are always made subject to availability on the day of arrival. Upgrades are normally to the next highest room category, and further upgrades are at the hotel's discretion.
